SAM stands for System for Award Management. It is the official U.S. government database where contractors, vendors, and businesses register to do business with federal agencies. All companies seeking federal contracts, grants, or loans must maintain an active SAM registration.

SAM registration is not permanent. Your registration expires after one year of inactivity or on your designated expiration date. Renewing on time keeps your business eligible for federal opportunities and prevents disruptions to ongoing contracts.

Check Your Current Registration Status

Before starting the renewal process, verify your current status and expiration date. Visit the official SAM website at sam.gov and log in using your SAM account credentials.

On your dashboard, you will see your entity registration record. Look for the expiration date listed in your profile. If your registration has expired or is within 60 days of expiration, renewal is overdue or urgent.

If you cannot locate your expiration date or need to confirm your account is active, contact SAM support directly. They can provide your exact status and advise on next steps.

Steps to Renew Your SAM Registration

Step 1: Log into sam.gov with your user ID and password. If you have forgotten your credentials, use the password reset option on the login page.

Step 2: Navigate to your entity record. Once logged in, select "Workspace" and then "Registered Entities." Find and click on the entity you need to renew.

Step 3: Review your information. The system will display your current registration data. Check all fields for accuracy: business name, address, DUNS number, tax ID, and authorized official information. Update any information that has changed since your last registration.

Step 4: Confirm your DUNS number. Your DUNS (Data Universal Numbering System) number is required. If you don't have one, you must obtain it from Dun & Bradstreet before completing renewal. DUNS numbers are free; apply at dnb.com.

Step 5: Update federal tax information. Provide your current Employer Identification Number (EIN) or Social Security Number if you are a sole proprietor. This information must match your most recent tax filing.

Step 6: Verify your point of contact. Confirm the name, email, and phone number of your authorized official or primary point of contact. This person will receive important SAM communications.

Step 7: Complete the certification section. You must certify that the information you have provided is accurate. Read all statements carefully and acknowledge each certification required by federal regulation.

Step 8: Submit your renewal. Once you have verified all information is correct, submit your renewal. SAM will provide a confirmation message with your submission date.

What Happens After You Submit

After submission, SAM typically processes renewals within one business day. You will receive an email confirmation to the address on file. Your registration status will update to "Active" once processing is complete.

In some cases, SAM may request additional documentation or clarification. If this occurs, you will receive a notification explaining what is needed. Respond promptly to avoid delays or denial of your renewal.

Once your renewal is active, your registration expiration date will extend by one year from the submission date.

Renewal Timeline and Deadlines

SAM registration lasts for one year from your renewal or initial registration date. You can begin the renewal process up to 120 days before your expiration date. This gives you plenty of time to complete the process without rushing.

For federal contractors, renewing early is strongly recommended. If your registration expires while you have an active contract, you risk losing eligibility for payment and future work.

Set a calendar reminder for 90 days before your expiration date. This gives you a three-month window to complete renewal before any risk of lapses.
